ArcStone Artificial Intelligence Policy

At ArcStone, We use AI responsibly, always guided by human oversight, ethics, and care.

AI is a robust tool that, when used responsibly, we believe will improve our services and amplify the impact of our mission-driven clients. We are also aware that this tool can be misused. In our commitment to ethical practices and transparency, we have implemented the following standards to ensure our use of AI is thoughtful, secure, ethical, responsible, and aligned with our core values. 

Human Oversight

We treat AI as a tool that amplifies human capabilities but never replaces the strategic thinking, creative problem-solving, and genuine care that defines our client relationships. We require all AI-assisted content to be reviewed and appropriately edited by an authorized employee before ever being presented to the public or being used within a client project. 

Any written, visual, or technical content delivered by ArcStone may have been enhanced by artificial intelligence tools in accordance with our stated AI policies. AI may assist in research, competitive analysis, documentation creation, initial drafts, research summaries, content frameworks, coding, testing, and documentation tasks but all client-facing materials receive human editing, fact-checking, and values alignment verification. AI-assisted work undergoes the same rigorous quality standards as traditional work, with human validation of technical accuracy, brand alignment, and mission appropriateness.

ArcStone takes full responsibility for all AI-assisted work products and maintains human oversight of all artificial intelligence applications. ArcStone maintains full accountability for the accuracy, appropriateness, and quality of final deliverables.

Privacy and Security

We will never use AI in a way that could jeopardize the privacy or security of our employees or clients. Employees and contractors of ArcStone are not permitted to share sensitive data belonging to ArcStone or clients of ArcStone with any AI systems. 

Client data shared with AI systems follows the same security protocols as all proprietary information, with explicit consent for any AI-assisted processing. AI tools are evaluated for security standards, data handling practices, and compliance with applicable regulations before integration into client workflows. AI-generated content follows the same retention and deletion schedules as traditional work products, with clear documentation of AI assistance levels.

Compliance and Licensing

ArcStone will remain compliant with all applicable IP laws, including copyright and patent laws, in its use of AI. Appropriate permissions and licensing will be obtained prior to the use of AI for generating content, algorithms, code, or datasets. 

AI tools will only be used at ArcStone in ways that respect copyright, trademark, and creative rights, with particular attention to protecting the intellectual property of artists, writers, and creators whose work contributes to training datasets.

Creative Respect

We acknowledge that the work of current authors and artists can be exploited and misrepresented through the misuse of AI. When generating creative content, we will respect the work and process of creators by not using their names or styles in our prompts.

ArcStone will not use AI to misrepresent capabilities, plagiarize protected work, or compromise the integrity of human design. Permissions will be obtained and credit will be given when using the work or style of another creator within our content. 

Evolve and Improve

Client and team input shapes our AI implementation strategies to ensure tools serve real needs, rather than pursuing technology for its own sake. We actively work to identify and minimize algorithmic bias in AI-assisted work, particularly ensuring that tools and content serve diverse communities and support inclusive mission outcomes.

As AI technology evolves, our policies and practices will be updated to reflect new capabilities, regulations, and ethical considerations. This policy is reviewed and updated quarterly.
